The Support Services department covers all traditional support services functions including the Administration for the American Red Cross office in Manila. Admin Assistant is require to cooperate and work closely with the Haiyan team based in Manila as well as the TTL office in Tacloban in order to provide efficient support services based on standards of quality, competitive cost and time criteria. Reporting Line: He / She reports to the Partnership Coordinator.
Job duties and responsibilities
Staff Management:
- Ensure that he/she completes tasks and delivers the assigned work in a timely manner, within the budgeted finance costs and with good standard of quality;
Office administration:
- Ensure reports partnership project are completely file
- Ensure reports partnership project agreement are file
- Ensure Memo/MOU/MOA/Contract comply PRC policies and procedure
- Ensure Memo/MOU/MOA/Contract daily monitoring/tracking and update the status to TTL Tacloban.
- Ensure inform respective offices regarding visitors of American Red Cross
- Coordinate to logistic and admin for hotel and vehicle arrangement for visitors
Delegates Visa
· Maintain accurate visa’s of delegate
· Maintain record visa fee ; requirements and advances for visa
Relationship management
- Work closely with the partnership coordinator
Other tasks
- Additional duties as assigned by the Partnership Coordinator.
Duties applicable to all staff
**1. Actively work towards the achievement of the PRC/ARC goals
Abide by and work in accordance with the Red Cross and Red Crescent principles
Perform any other work related duties and responsibilities that may be assigned by the line manager
Position Requirements
Diploma or Degree in Relevant Field
Experience of working for the Red Cross/ Red Crescent
Experience of working for a humanitarian aid organization in a developing country
Experience conducting logistic duties
Experience managing staff
Knowledge and Skills
**Self-supporting in computers (Windows, spreadsheets, word processing)
Able to work independently and as part of the team
Sensitive to cultural and regional issues (Tacloban)
Languages
**Fluently spoken and written English & Tagalog
